In the last month before graduation, your schedule will be packed with all kinds of procedures: school-leaving forms, records transfer, tripartite agreements, and various certificates—at every department’s door you have to hand in a piece of paper, and each piece of paper has its own formatting requirements.
This article walks through them in the order of visiting each office. The focus is not on the errand route but on document handling—because half of the school-leaving procedures are running errands, and half are paperwork.
Stop 1: The forms to fill out
School-leaving form, records transfer application, agreement documents—every field on each form must be filled in, and the information overlaps heavily: name, student ID, ID number, and destination information appear repeatedly on seven or eight forms.
muchsci’s PDF form filling comes in very handy here: save your standard information once, and fill in each form against the same baseline—smoothing over the biggest pitfall of graduation season: consistency of information across multiple forms.
Stop 2: The files to archive
Various certificates, transcripts, and copies of awards—if you don’t organize them after scanning, three years after graduation when you have to dig them up, you’ll curse your present self.
The archiving rule is simple: use a unified naming convention—“MaterialName_Name_Date”; muchsci organizes and renames in batches and converts to standard formats. At the same time, do two things: harden PDFs to prevent accidental changes, and add watermarks to important files to indicate their purpose.
Stop 3: The documents to submit
Export PDFs according to the recipient’s requirements, encrypt what needs encryption, watermark what needs watermarking, and after submitting everything, make dual backups—one local, one in the cloud.
Self-check card before finishing the office visits
| Check item | Standard |
| --- | --- |
| Is the information consistent across every form? | Key fields such as name and student ID are consistent across the whole system |
| Are scanned files named according to the standard? | Unified rule of “MaterialName_Name_Date” |
| Are electronic files backed up? | Dual backup: local + cloud |
| Have files that need watermarking or encryption been handled? | Handled according to the recipient’s requirements |
Getting your documents in order is the last lesson university teaches you. Procedures require running errands; documents require getting them right—let muchsci take care of the document half, you focus on the errand half, and take the time to say a proper goodbye to your school.
